Choose the location and timing first

The single biggest factor in a promotion's success is being in the right place at the right moment. Start from your audience and work backward. Where does your target customer spend time, and when are they relaxed enough to take a sample and listen for ten seconds? Morning commuters move fast and want coffee, not conversation. Lunchtime crowds in business districts will stop for food and drink. Evening and weekend crowds at entertainment areas are more open but often in groups. College campuses have rhythms set by class changes and events. Stand near decision points such as store entrances, venue gates or the line for food, but not in a spot that blocks traffic or annoys the property owner. Local staff are a real advantage here, because people who live in a market know where crowds actually form. Before you lock in a location, visit at the planned time or ask us to check it, and have a second spot ready in case the first one is quiet.

Know the rules before you hit the street

Street and public promotions are subject to rules that vary from city to city and property to property. Many cities require permits for sampling, distributing printed material or setting up any kind of table or tent on public sidewalks and plazas. Private spaces such as malls, stadium plazas and transit stations usually require written permission from the owner or operator. Food and drink sampling may have additional health requirements, and alcohol sampling is regulated tightly, with rules on who can pour, how much, to whom and where. Some campuses limit outside promotions or require a sponsoring student group. None of this should stop a promotion, but all of it should be planned. Confirm what is required for each location, secure the permissions in writing and share them with us so staff can show them if asked. Keeping a promotion on message and measurable

A promotion should leave a clear impression, not just a free sample. Give staff one sentence that captures your message and one action you want people to take, and repeat both in the brief, on the signage and on whatever people take away. If your offer has fine print, make sure staff can explain it in plain words. Then make the result measurable. Use a unique coupon code, QR link or landing page for each location and day, so you can see which spots and times produced action. Track how many samples or items went out per hour, which tells you when the crowd was strongest. Ask staff to note common questions and reactions, both positive and negative. Photos taken at intervals help you see crowd size and how the setup looked. With that information, the second round of a promotion is almost always better than the first, because you can move to the locations and times that actually delivered.
