Booking a few staff for one event is simple. Running a program across a dozen cities, with different venues, call times, dress codes and local rules, is not. Build a realistic event timeline

Most staffing problems are timeline problems in disguise. Work backward from the first event date. Allow time to confirm venues and permits, because staffing depends on knowing hours, access and any rules about sampling or alcohol. Allow time to finalize the brief and creative, since staff cannot be trained on a product story that is still changing. Leave room for casting, which takes longer in busy seasons and for specialist roles such as on-camera hosts or bilingual staff. Build in a buffer for materials to ship and arrive, and decide who receives them at each venue. Then set a date after which changes become expensive or difficult, and share it with everyone involved. On a multi-city program, stagger the start if you can. Running the first market a week before the rest lets you fix the brief, the setup and the schedule before you repeat any mistakes in ten other cities.

Running a multi-city program without losing consistency

The risk with any program that spans many markets is drift. The first city gets the full briefing and attention, and by the eighth the team is working from a forwarded email and a photo of last month's setup. Consistency comes from a few habits. Use one master brief, updated in one place, and send every team the current version. Keep the same structure for every city: the same roles, the same order of tasks, the same action you want each guest to take. Assign a lead in each market who knows the brief thoroughly and can make small decisions. Share what worked after each stop, such as a better opening line, a smarter table layout or a question the brief did not cover, and fold those improvements into the master brief. What to hand over to your staffing partner

The more complete your handover, the less time you spend answering questions later. Start with goals: what success looks like, in numbers if possible. Add the full schedule with dates, cities, venues, addresses, hours and any setup or breakdown time. Include venue contacts, parking and access instructions, load-in windows and any venue rules about dress, sampling, sound or alcohol. Supply your product information, approved claims, brand guidelines and the exact action each guest should take. Describe the look and personality you want from staff, plus any skills or languages needed. List what you are shipping, where it is going and when it will arrive. Name the person on your side who can approve changes, and how to reach them during events. Finally, tell us what has gone wrong before. Do you plan the whole event or just the staffing?

Our focus is the staffing and the logistics that surround it, which is where many programs struggle most. We work alongside your agency, venue or internal events team rather than replacing them, and we make sure the people side of the plan fits the rest of your production.

Can you manage a program in many cities at once?

Yes. We have staffed events in more than 100 cities across the US, with local staff in every major city and the towns around them. One point of contact coordinates the whole program, so you are not juggling separate agencies or separate conversations in each market.

How do you handle last-minute changes?

Changes are normal on any program, especially across many markets. Your point of contact handles adjustments to hours, dates, headcount or venues, and our depth of local talent gives us room to cover them. Tell us as early as you can, and we will confirm what the change means for the schedule and the quote.

Can you handle programs that include alcohol?

Yes. Our models are certified and trained to serve alcohol, and we hold alcohol licensing in every state we work, including TABC certification in Texas. Each state has its own rules, so we plan alcohol-related shifts with the right qualified staff for every market in your program.
