Austin is a festival city first. SXSW takes over downtown each March, ACL Music Festival fills Zilker Park across two October weekends, and Circuit of The Americas, on 1,500 acres outside town, hosts the Formula 1 United States Grand Prix and MotoGP. The Austin Convention Center is closed for a $1.6 billion expansion, with completion expected in 2028, so indoor shows have moved to places like the Palmer Events Center on Barton Springs Road. Moody Center on the UT campus and Q2 Stadium at McKalla Place round out the arena and stadium circuit.

Austin details we plan for
The convention center is closed
The Austin Convention Center closed for its UnconventionalATX expansion, which grows rentable space from 365,000 to 620,000 square feet. Completion is expected in 2028, and the center is booking events for 2029 and beyond. Until then, the city-run Palmer Events Center stays open, and the center's garages at 201 East 2nd Street and 601 East 5th Street keep operating.
SXSW week is its own planning problem
SXSW runs March 15–21 in 2027 and counts more than 500,000 participations across badges, wristbands and tickets. Hotel rooms, rideshares and experienced staff all get scarce that week. Brands planning pop-ups, street teams or venue takeovers should lock staffing early; local staff who need no lodging are a real advantage when every room in town is booked.
Heat and outdoor timing
Central Texas summers are hot, and even Rodeo Austin in March and ACL in October can bring warm afternoons. Outdoor activations at Zilker Park, Auditorium Shores or COTA need tents, water and staff rotations. COTA sits outside the city, so we plan staff arrival windows around race-weekend traffic and long days on foot.
Parking at Palmer Events Center
Palmer's four-story garage holds 1,200 spaces with a 7'2" clearance, so box trucks and tall vans need a separate plan. Entrances are on Barton Springs Road and Riverside Drive. The venue sits within three miles of about 11,000 hotel rooms, but most staff drive or use rideshare, so we confirm staff parking before event day.

Is the Austin Convention Center open?
No. It closed for an expansion expected to finish in 2028, with bookings taken for 2029 and beyond. Many shows now use the Palmer Events Center, hotels or private venues. We staff all of these and can help you size booth staffing for a different footprint.
How early should we book staff for SXSW?
As early as your plans allow. SXSW week in March is the tightest week of the year for experienced event staff in Austin. Because our team lives locally, you skip lodging during the most expensive hotel week, but the strongest people still get booked first.
Do you staff Circuit of The Americas events?
Yes. We staff hospitality, display and fan-engagement roles for race weekends and other COTA events. The track sits outside the city, so we schedule arrivals well ahead of gate times and plan for heat and long days on foot.
Do you cover Round Rock, Georgetown and San Marcos?
Yes. We staff events across the Austin metro and along I-35, including Round Rock, Georgetown, Pflugerville, Kyle and San Marcos. Staff who live near the venue make early call times and multi-day events easier to cover.
Are your Austin promotional models certified to serve alcohol?
Yes. Our models are TABC certified and trained to serve alcohol, so they can work bars, beverage sampling and events where alcohol is served in Austin. Staff at alcohol events are 21 or older.
