Nashville details we plan for
Two convention campuses, not one
The Music City Center sits downtown at 201 Rep. John Lewis Way South, while Gaylord Opryland Resort & Convention Center is a separate resort campus in the Opryland and Music Valley area. They are not within walking distance of each other, so confirm which one your show uses before booking hotels. We plan staff call times and travel for the right campus.
Parking downtown
The Music City Center runs a multi-level covered garage that is open to the public 24/7, which helps with early load-ins. On nights with an arena event or a busy Broadway, nearby lots and rideshare pickups back up quickly. We give staff specific parking or drop-off instructions and build in extra time on show and concert nights.
June and July crowds
CMA Fest runs June 10–13 in 2027 across Nissan Stadium, the riverfront and the Music City Center, and Let Freedom Sing! spreads July 4th programming across downtown. Expect road closures, heavy foot traffic and summer heat. Outdoor activations need shade, water and staff rotations, and we plan those into your schedule from the start.
Broadway and the bar scene
Lower Broadway's honky-tonks and rooftop bars make Nashville a strong market for beverage promotions and bar nights. Staff assigned to alcohol sampling are trained to serve responsibly, and we check each venue's own rules for sampling and pouring ahead of time. Packed weekend crowds call for confident, experienced staff who can hold a guest's attention.

Yes. Gaylord Opryland Resort & Convention Center hosts many meetings and conventions, and we staff hosts, greeters and booth teams there. Because it sits outside downtown, we plan staff travel for it separately from downtown events running the same week.
How early should we book staff for CMA Fest?
Several weeks out at minimum. CMA Fest week in June is one of Nashville's busiest, with activations across downtown at once. Early booking gives us the widest pool of experienced local staff and time to train them on your product before the crowds arrive.
Do you cover Franklin, Murfreesboro and other nearby towns?
